Retail business: Tableware store
Mrs Smith is planning to open a tableware store. She is looking for a Mac-based business management solution for her store. She has limited IT knowledge. She is looking for a solution that she can use to manage inventory, barcodes and till operations, as well as handle her accounts. She also wants to introduce loyalty cards to build long-term relationships with her customers. Her final requirement is that she wants to send mailshots out to her customers. Her main requirement is to have everything in a single software package.
Whenever we have a request from one of our customers, we always take the time to listen to and analyse their requirements. We worked with Mrs Smith to ascertain exactly what she needed. We then demonstrated the Boutique solution, focusing in particular on the till features, inventory management system and accounting facilities. Once Mrs Smith decided to purchase our solution, we helped her to install it. She opted for two half-days of remote demonstration, after which she felt sufficiently confident to start using our solution independently.

Multinational group: Accounting
Mrs Jones is the accounts manager for a multinational group. She has been tasked with migrating to a new accounting software package. Given the huge volumes of data involved (several million lines) and the "closed" nature of their existing solution, she decided that a new solution would be needed. The new solution needed to offer the following essential features: the ability to manage several charts of accounts, multi-language compatibility, report management, easy data export functionalities, data security management, selective data views based on user permissions and multi-currency balance management.
After analysing Mrs Jones' requirements and drafting a set of mini-specifications, we recommended the "Advanced" version of our Accounting (CTA) solution. During the initial study phase, we conducted careful checks to ensure that the Advanced version of our CTA solution was fully compatible with the customer's requirements. We then set out a timetable for the recovery of the past six years of data.

We are fully up to speed with the new solution and, following the initial breaking-in period, we are now using it for day-to-day operations and are able to produce reports without having to re-input any data. Despite the vast amounts of data involved, we have absolutely no problems producing the necessary figures. The new solution features automated systems which make it much easier to communicate with other units within the group. What's more, the access permissions feature means I can rest assured that sensitive data remains confidential.

Mr Green is the sales director at a hardware trading company. He is looking for a new solution to inject fresh impetus into his sales team. He wants a mobile, Mac-based solution which will give each of his salespeople access to their own information, without allowing them to see information belonging to other members of the team. The software program also needs to be capable of managing leads and visit reports. He wants a solution that can store all of this information in a central database and that is capable of managing mailshots and marketing campaigns. He also wants to be able to assign tasks to individuals and monitor their progress.
After carrying out the initial needs analysis phase, our sales team recommended a decentralised XRM solution to Mr Green. One of the key problems raised during the analysis was the fact that his salespeople were unable to log into the system when visiting customers (no network access, secured networks, etc.). With our solution, the team members are now able to work in either online (real-time) or offline (batch) mode. They can work independently, yet are kept up to date with the information stored on the central database (price lists, new items, etc.).

With this new solution, we are now able to work much more flexibly. We can track every action performed and monitor the progress of each employee against their assigned tasks. This has helped us to monitor our customer and lead call backs much more effectively. Once the configuration was completed and the infrastructure fully installed, we saw instant results in terms of efficiency. I'm actually surprised at how quickly my sales team learned to use the new software. It has become a key resource for our business. Now I'm wondering how we ever managed without it!
Cosmetics distribution company (B2C): Business management

Mr Russell is the director of a company that employs 50 staff and has enjoyed sustained growth over the last few years. He is looking to replace his current management solution, which no longer meets his requirements (unstable, insufficient features, "closed" architecture). He wants to migrate to a new solution which he can use to manage inventory at a number of different warehouses, automatically exchange data between his website and his database, and interface with his logistics platform in EDI format. He is also looking for data analysis features to assist with the decision-making process. Data recovery is also a critical issue, as business interruption is out of the question.
We decided that the 8project solution would be the best response to Mr Russell's requirements. We drafted a set of specifications and scheduled the migration process over a four-month period, involving department managers and his web hosting provider in the project.

Now that we've migrated to the new solution, we've seen vastly reduced delivery lead times, with shipment data transmitted from our logistics suppliers' platforms. We also asked 8sens to develop a bespoke, integrated delivery picking module, which has further improved our productivity. We use this module to send delivery notification emails or SMS messages. It's really helped to boost our company's image. The automatic import module has vastly improved the data exchange process between our website and the 8sens solution, avoiding the need for cumbersome re-inputting work.
